Migrating from kvCORE (BoldTrail) to RealFoyer: What Exports, What Imports, What Stays Behind

Introduction

This is the kvCORE version of the general CRM migration guide. That article covers the method: audit, export, clean, map, test, validate, import, run in parallel. This one fills in the two specifics the method depends on — what a kvCORE contact export contains, and what RealFoyer's lead import will accept from it.

A note on the name. Inside Real Estate's help centre now files kvCORE's CRM articles under BoldTrail, so the documentation quoted below says BoldTrail. If your account still says kvCORE, it is the same contact export.

⚡ Quick answer — can I move my kvCORE database into RealFoyer? Your contacts, yes; most of their history, no. kvCORE (BoldTrail) exports the contacts you own to a CSV file that is emailed to your login address, with agent notes included. RealFoyer imports leads from a CSV file, but the import stores contact and lead fields only — name, email, phone, city, address, type, status, source and a created date. Notes, hashtags, the assigned agent, search alerts and smart campaigns do not arrive. Keep the full export as your archive, import the contact layer, and plan the rest deliberately.

What kvCORE lets you export

kvCORE documents its export in Importing & Exporting Your Contacts. The export runs from Contacts: filter the list, select contacts, then More Actions > Export Contacts.

You can only export what you own. The help centre puts it in one line: "You may only export the contacts that you own." Contacts that came from a team, an office or a company-run page are owned by that entity, and the article gives the rule as "Agents can export Agent-owned Leads, Admins can export Company or Team-owned leads." If you are an agent leaving a brokerage, filter by assigned agent first so you can see exactly which contacts the export will include.

The file arrives by email, not as a download. In the help centre's words, "You'll then receive an email with a link to download your contacts directly to your device." Exports go only to the email address you log in with, and two safeguards can delay them: "If you have updated your login email, there will be an automatic 48 hour pause on exports", and if you have not logged in for three months or more, exports are delayed 24 hours. Large exports take time — the article says an export of 20,000 to 50,000 leads "may take a few hours". Do not leave the export for your last day on the account.

The column list is fixed. "At this time, there is not a way to export additional fields." The documented export fields include first and last name, email and second email, status, deal type, source, referrer, capture method, work, home and cell phones, primary and secondary addresses with city, state and zip, assigned agent name, hashtags, email opt-in, CASL subscription date and consent type, rating, average price, beds and baths, birthday, spouse details and a registered date.

Notes come; other history largely does not. "Your Agent notes will be included in each export automatically." CoreHome chat is not in the standard file — the article asks you to contact Inside Real Estate support for it. The documented field list does not name the timeline of calls, texts and emails, tasks, appointments or smart campaign enrolment. Search alerts appear only as ID columns, which mean nothing outside kvCORE.

Inside Real Estate's own guide to moving between two BoldTrail accounts shows the same boundary: contacts move by export and import, and smart campaigns move separately, through share tokens designed for moving them from one BoldTrail account to another.

What RealFoyer accepts on import

RealFoyer imports leads from a CSV file, and that is the whole migration path in: there is no direct connection to kvCORE in either direction, and no automatic mapping from its export. The help centre says the same — plan a migration as an export from your current system followed by an import.

What follows was checked against RealFoyer's production CRM code on 21 October 2026.

One CSV file at a time, matched to RealFoyer's fields. You upload the file in the CRM, match its columns to RealFoyer's fields, review, and import. A column is matched for you only when its heading is exactly a RealFoyer field name, such as "First Name" or "Email". kvCORE's "First Name", "Last Name" and "Email" will match; its phone, address, status, deal type and date columns you will match yourself.

The fields the import stores. First name, last name, email, phone, city, address, type, status, source and a created date. That is the complete list. A column you do not match is ignored, and so is anything outside that list.

Three fields are required on every row. Email, first name and phone. A row missing any of them is skipped rather than imported. kvCORE contacts often have an email and no phone, and kvCORE itself adds a placeholder email to some leads that arrived by phone — find both groups in the spreadsheet before you import.

An email that already exists is skipped, not merged. If a lead with the same email is already in your RealFoyer CRM, the row is left alone, and re-importing a corrected file does not update it. Deduplicate in the spreadsheet first.

Status and type take RealFoyer's values only. Status must be one of RealFoyer's stages — new, contacted, qualified, converted or lost — in lowercase. Type must be buyer, seller, rental or commercial. A row carrying any other value fails. kvCORE's statuses — the import article lists Sphere, Prospect, New Lead, Client, Contract, Closed and Archived among them — need translating in the spreadsheet, and so do deal types such as Renter, Vendor and Agent, or combined values like "Buyer|seller". A blank status imports as new, and a blank source imports as imported.

Phone numbers take the +1 country code. Right for the United States and Canada; wrong for any international contact.

Imported leads belong to the account that imports them. kvCORE's assigned agent does not carry over. On a team, reassign after the import using RealFoyer's routing and assignment.

You can put the whole file into a group. Name a new group or pick an existing one at import time, so the batch can be found as a unit later.

You get a record of what happened. Each import appears in an import history with counts, and a downloadable copy of your file with a status and a message added to every row — your list of every skipped or failed row and the reason.

The other way leads enter RealFoyer is an inbound webhook: RealFoyer issues a URL and a token so a system you already run can post new leads in. That is for new leads arriving, not for history. RealFoyer is not connected to kvCORE, so nothing flows between the two automatically.

Consent deserves the most care. kvCORE's export carries an email opt-in field and, for Canadian contacts, CASL subscription and consent columns. RealFoyer campaigns honour unsubscribes and suppressions recorded in RealFoyer, but the lead import cannot bring kvCORE's consent state across. Before the first campaign, separate contacts without email consent and keep them out of every audience — importing them as their own named group makes that straightforward. Email marketing for agents explains why consent is a category, not a single flag.

Everything in the "No" column remains in your archived export. The question is which parts someone will need, and where they will look.

Preparing the kvCORE file

Work on a copy. Keep the emailed export untouched as the archive.

  1. Keep the columns that import. First Name, Last Name, Email, one phone column (usually Cell Phone 1), Primary Address, Primary City, Status, Deal Type, Source and Registered. Remove the rest from the import copy.
  2. Translate statuses. Map each kvCORE status to new, contacted, qualified, converted or lost, and write the mapping down. Decide what Sphere and Archived contacts become, or whether they come at all.
  3. Translate deal types. buyer, seller, rental or commercial; leave the cell blank for anything else.
  4. Handle missing phones and placeholder emails. Fill them, or set those rows aside as a separate list with a reason.
  5. Deduplicate on email.
  6. Separate contacts without email consent into their own file and group.
  7. Check the Registered column for a full, consistent date.

Cutover checklist

Before you give notice

  • Filter by assigned agent and confirm which contacts you own and can export.
  • Run the export early, from the login email you will keep — changing it pauses exports for 48 hours.
  • Download the emailed file and store it untouched somewhere permanent.
  • Ask Inside Real Estate support for CoreHome chat if you need it.
  • List your smart campaigns, active search alerts, open tasks and upcoming appointments — none of them moves in the file.

Preparing

  • Build the import copy as described above.
  • Decide what happens to contacts with no phone, placeholder emails, contacts without consent, and leads owned by former agents.

Test import

  • Import 50 to 100 hard rows: an old contact, a Sphere contact, a merged duplicate, a contact without email consent, and one you know well.
  • Read every skipped or failed row in the result file.
  • Open the contact you know well and check name, phone, status, source and whether the original date shows where you expect it.

Full import

  • Import the rest with kvCORE still readable.
  • Reconcile counts: rows in the file against imported plus skipped, every difference explained.
  • Reassign leads to the right agents.
  • Confirm the no-consent group is excluded before any campaign is scheduled.

Switching over

  • List every lead source that delivers to kvCORE and decide how each will reach RealFoyer — your RealFoyer website, the inbound webhook if the source can post to a URL, or entry by hand — then confirm a test lead arrives from each.
  • Rebuild the smart campaigns you still use as RealFoyer follow-up sequences.
  • Tell buyers with active search alerts how to save their searches on your RealFoyer site.
  • Re-enter open tasks and upcoming appointments by hand.
  • Name the day new leads go only to RealFoyer, and keep kvCORE readable for at least a month before you cancel.

FAQ

Is there a direct kvCORE integration in RealFoyer? No. RealFoyer is not connected to kvCORE or BoldTrail, in either direction. Moving is an export from kvCORE and a CSV import into RealFoyer.

Why can't I export all the contacts I see in kvCORE? Because kvCORE exports only the contacts you own. Team-, office- and company-owned contacts can be exported by an admin with rights to them, not by the agent.

Will my agent notes come across? They are in the kvCORE export, but RealFoyer's import has no field for notes, so they stay in the archive. For the relationships where history matters most, add the key points to the lead in RealFoyer by hand.

Can I bring my smart campaigns? No. Inside Real Estate's own guide moves them between BoldTrail accounts with share tokens; that route ends in another BoldTrail account, not in RealFoyer. Rebuild the ones you still use as RealFoyer follow-up sequences.

What happens to my buyers' search alerts? They do not transfer. Buyers can save searches on your RealFoyer site and choose instant, daily or weekly alerts.

Why were some contacts skipped? Usually no phone number, an email already in your RealFoyer CRM, or a status or type value that is not one of RealFoyer's. The result file gives the reason on every row.

In short

A kvCORE export carries more than RealFoyer's import stores. Contact details, status, deal type, source and a date move; notes, hashtags, owners, consent fields, search alerts and campaigns stay in the archive or get rebuilt.

Export early from the login you will keep, check what you own, translate statuses and deal types before the import, and settle consent before any campaign goes out.

Research Integrity

Published 21 October 2026 as a child of the CRM migration guide. kvCORE facts come only from Inside Real Estate's own help centre, which titles these articles under the BoldTrail name, read on 21 October 2026; each quotation was matched word for word against the retrieved text. RealFoyer's import behaviour was checked the same day against the production CRM code — the CSV import route, its background import job and the lead model — rather than against marketing copy: the stored fields, the three required fields, the duplicate-email rule, the allowed status and type values, the +1 default, ownership of imported leads and the per-row result file are all read from that code. Nothing here claims a kvCORE connection, because none exists. No statistics are cited.
